Privacy Policy

This policy explains what information HandyQuote collects, why we collect it, who we share it with, and how you can control it.

Who we are

HandyQuote is operated by Essence Apps, a sole trader based in the United Kingdom. There is no registered company number because Essence Apps trades as a sole trader.

The quickest way to reach us — for anything including privacy, billing and account questions — is our Support page. We aim to reply within 1–2 business days.

Our role under UK GDPR

For your account and the quotes you create, Essence Apps is the data controller. Where a business customer uses HandyQuote to hold information about their own clients, we act as a processor for that business — those terms are set out in our Data Processing Addendum.

What we collect

  • Account data — your email address, password (stored only as a secure hash), display name and optional profile picture.
  • Business settings — your weekly overheads, billable hours, hourly rate, default profit margin, currency and service area.
  • Quote data — job names, client names you choose to enter, job areas, descriptions of work, material line items, hours, and the calculated prices.
  • Billing data — subscription status, plan, renewal dates and the identifiers our payment provider gives us. We never see or store your full card number; card details are entered directly with the payment provider.
  • Support data — the name, email, subject and messages you send through the Support page, plus our replies.
  • Technical data — sign-in timestamps and a one-way hashed form of the IP address used at sign-up, which we use only to prevent repeated abuse of the free trial.

Why we use it, and our lawful basis

  • To provide the service (creating, calculating, saving and editing quotes; storing your materials and margin profiles) — performance of our contract with you.
  • To take payment and manage subscriptions — performance of our contract and compliance with tax and accounting law.
  • To answer support requests and send service notifications (for example a quote saved, a failed payment, or a reply to your ticket) — performance of our contract and our legitimate interest in supporting you.
  • To generate time, material and market-price estimates — performance of our contract, using the AI provider described below.
  • To protect the service and prevent free-trial abuse — our legitimate interest in keeping the service sustainable and secure.

We do not sell your data, and we do not use it for advertising or profiling. We do not send marketing emails from HandyQuote.

Who we share it with

We use a small number of carefully chosen providers, each of which processes data only on our instructions:

  • Hosting, database and authentication — our application platform hosts the app and stores your account, settings, quotes and support tickets.
  • Payment processing — our card payment provider handles checkout, subscriptions, invoices and card data.
  • AI estimating and market benchmarks — when you ask for a time or material estimate, or for regional price benchmarks, the job description and job area you entered are sent to our AI provider to produce the estimate. Please avoid putting client names, addresses or other personal details in the description field. This data is not used to train public models.
  • Email delivery — our platform's built-in email service sends account and support emails.

We may also disclose information where we are legally required to, or to establish or defend legal claims. Some providers process data outside the UK; where they do, transfers are covered by the UK International Data Transfer Agreement or Addendum, or an adequacy decision.

How long we keep it

  • Account, settings, quotes, materials and margin profiles — for as long as your account is open.
  • Support tickets and replies — up to 3 years after the ticket is closed.
  • Billing and subscription records — 6 years, as required for UK tax purposes.
  • Hashed sign-up IP records used for free-trial protection — 3 months.

When you delete your account from the Account page, we cancel any active subscription and permanently remove your profile, settings, quotes, materials, margin profiles, notifications and sign-in credentials. Records we must keep by law (such as invoices) are retained for the periods above.

Your rights

Under UK GDPR you have the right to:

  • access a copy of the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased — you can do this yourself from the Account page;
  • restrict or object to certain processing;
  • receive your data in a portable format;
  • withdraw consent where we rely on it.

To exercise any of these, message us through the Support page. If you are unhappy with our response you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Security

Access to your data is restricted by row-level database rules so that only your signed-in account (and, where necessary, our support team) can read it. Data is encrypted in transit and at rest, and passwords are stored only as salted hashes. No system is perfectly secure, so please use a strong, unique password.

Children

HandyQuote is a business tool and is not intended for anyone under 18. We do not knowingly collect data from children.

Changes to this policy

If we make a material change we will update the "Last updated" date above and, where the change significantly affects you, notify you in the app. This version is dated 17 August 2026.
